VESTRY MINUTES July 18, 2011

St Bede's Vestry Meeting
July 18, 2011 6:30 pm

Present: Bay Besing, Neil Heighberger, Ed Nordstrom, Catherine Willmott, Ann McVicar, Martha Puryear, Judith Beery, Melissa Leehan, Ann Moon, Mother Madelynn.

The meeting was called to order by the Senior Warden, Ed Nordstrom. The meeting opened with prayer, scripture reading and a reading of The Mission Statement. June minutes were approved by Email.

Acting Rector: Mother Madelynn reported on the busy weeks she has had as acting rector. She is working on a Native American Service during Indian Market and a Saint Francis Day Celebration on October 9. She asked that dates for all activities and services be submitted to Ruben before being scheduled. There will be a group of young people from Colorado visiting the church August 31- September 4. We will also need to be aware of scheduling around High Holy Days of HaMakom in late September.

Senior Warden: Ed began with each vestry member telling of their recent activities. Ed reported for the Finance Committee. Finances all look good and we are ahead of what was budgeted. The Finance Committee recommended that we do not spend excess funds collected for Father Richard's sabbatical as there could be more expenses during the interim than we had predicted.

A discussion was held on the part time/ full time status and hourly pay for German. Mother Madelynn will be meeting with German and Ruben on Friday.
Further discussion will be held next month.

Ed reiterated the Parish Email policy that was set 2 years ago. All Emails must be approved by the Rector.

Junior Warden: Neil reported for the Buildings and Grounds Committee. Frank Dickson has accepted the chair of the committee as Jim Derryberry is "taking a break". Some work is being done around the church- all projects less than $500- replacing flagstone, plantings, etc. The committee has come up with a list of plants appropriate for the church grounds and are working on a plan of where they should go. This will be used for people wanting to give plants as a remembrance.
Mother Madelynn says that there may be a memorial book in storage and will have Ruben look for it. B&G will look at an umbrella donated by Ann Moon to see if it would be appropriate for the outdoor eating area. A "Madonna" microphone has been purchased for use during services.

Mother Madelynn asked about B&G covering rental of a covering for the outdoor St. Francis Service. This will be referred to Spiritual Life.

Judith sent around a signup sheet for Sunday morning resource people. Mother Madelynn reiterated how important this role is, especially for the safety of the children.
She also asked that a clear description be written of the role of the resource person.

Portfolios:

Children and Youth: Ann Mc. Inquired about Fania getting paid. Mother Madelynn said the confusion is all cleared up and she received a pay check. A third person is being looked for to work in the Sunday School.

Communications: Melissa reported that the transition process is still not known by all. She will let people know by 1) Blue note, 2) a poster stating the process, 3) Sr. Warden explaining the process at some point. Mother Madelynn also said that she is going to ask Rev. Daniel Gutierrez from the Diocese to come and explain the process and answer questions. Ann Mc will also see that the process is included in the Beacon.

Parish Life: Judith announced that Gigi and Francis Rivinus will be heading up hospitality. The Prayer Shawl Ministry is organizing a "Sing-a-long" for the Parish on August 4. Jerry Nelson will play the piano. Colleen Davidson has been updating the church inventory.

Spiritual Life:
Martha will write up a clear description on the Friendly Visitors Ministry. Mother Madelynn announced that bread is now being used for Eucharist.

Stewardship: Ann M. announced that planning will begin in the next few weeks and that Tom Woodward will head up the process.

Old Business: Thank you in the bulletin will be for the lectors.

New Business: Mother Madelynn reported that a group from the Church Pension Fund visited to do a safety check. The group was impressed with everything, but listed a few recommendations to take to enhance the current risk management plan.
A response to these will need to be made. Mother Madelynn also asked that a plan be developed for evacuating the sanctuary.

Ed asked for 2 committees to be formed. 1) To plan Father Murphy's last service and day at St. Bede's- Catherine, Neil and Judith will serve on this committee. 2) To plan out the search process- Ray, Melissa and Ann M. will serve on this committee. A report from each committee will be heard at the next vestry meeting.

The meeting ended with a service of Holy Eucharist.
