St. Bede's Vestry Meeting
April 18, 2011
6:00 p.m.
The meeting was called to order at 6:00 pm, with prayer offered by Father Murphy. Attending: Mother
Madelynn, Ed Nordstrom, Sr. Warden, vestrypersons Jim Derryberry, Melissa Leehan, Ray Besing, Ann
MacVicar, Judith Beery, Catherine Willmott, Martha Puryear, Treasurer Rudy Buse and guest, Karen
Aubrey.
The minutes of March 28 were approved as presented (Derryberry/Leehan). The minutes of the April 5
special meeting with Bishop Vono were approved as presented (Leehan/Willmott).
Rector's Report: Sr. Warden Ed Nordstrom pointed out that the sabbatical plan for the Rector has
potential associated costs of $15,000. Approximately $8,000 of which is available from existing funds.
The vestry may have to find a way to raise the remaining amount to include potential supply clergy for the
interim (July-October) and the priest-in-charge for Nov and Dec. Mother Madelynn pointed out that she is
in conversation with Father Murphy and existing clergy to plan the schedule of coverage between July
and October. A motion was made (Besing/Derryberry) to send Ed (and or Neil Heighberger), the treasurer,
Rudy Buse and perhaps Karen Aubrey to the Diocese to discuss actual costs to St. Bede's and what the
diocese would be able to contribute. A report of this meeting would be presented at the next Vestry
meeting.
Treasurer's Report: Accepted as presented (Leehan/Derryberry)
• Adjustments have been made to Father Murphy's and Mother Madelynn's housing allowances for tax
purposes. (Leehan/Besing)
• Check signers have been asked to sign signature cards for the new account (see March 28 minutes).
• Progress report on the B&G list (from March 28, 2011). The finance committee has recommended
approval on items 2,3, and 6.; item 1 with modification; that item 4 be held until the gift policy is
consistent; and item 5 is not approved, with the recommendation that the Vestry make decisions on a case
by case basis.
• Temporary Receipts - this fund will be used to hold any undesignated gift when received with a report to
the vestry following receipt of the gift. When anything is moved form that line item, Vestry approval is
required.
Portfolios:
Building and Grounds: Jim Derryberry reported on a successful work day (April 16) with many
participants - he suggested Vestry Kudos to all those who helped with the spring cleanup. There was no
meeting this month, however, it has been noted that the parking lot light fixtures are getting knocked
down. Jim is asking the line-painters if there is some way to paint the areas around the lights (esp. in the
loop) to warn people away from them.
Children and Youth: Ann MacVicar reported that she will work with Mother Madelynn and other clergy on
setting a date in the fall for the Children's Sabbath celebration. It is likely that the Vacation Bible School
will again take place at St. Bede's the week of June 12.
Christian Education: Ray Besing has met with Martie Buse to talk about the potential for the committee,
scheduling programs, etc.
Communications: There has been good feedback on the Vestry Blue Notes. Melissa will coordinate with
Sue regarding minutes and blue notes. In the future, the minutes will be approved by email vote as soon as
possible after the Vestry meetings. Parishioners will receive Blue Notes and be referred to the web-site for
further details in the minutes. Vestry Kudos this month will go to all those who participated in the
clean-up and to the Sunday School children, for the delicious hot-cross buns!
Outreach: Catherine said a meeting is scheduled for early May.
Parish Life: Judith is pleased that things are going well, especially coffee hour.
Spiritual Life: Martha reinforced the need for volunteers on Altar Guild, Flowers, etc.
Stewardship: Jim said tha the committee is inactive at the moment, but will soon be planning the fall
stewardship campaign.
Re: Meeting dates in coordination with financial resports. Consensus was to move Vestry meetings to the
3rd Monday of the month at 6:30 pm. Except May- the fourth Monday, May 23 (May has 5 Mondays).
June will be the 3rd Monday, June 20.
New Business:
Judith brought forth a suggestion that at each vestry meeting, a few minutes be set aside for "personal"
updates - perhaps about upcoming travel, health concerns, good news! Consensus was to insert the
sharing at the beginning of the meeting for those who wished to share.
